Policies and Procedures
Illness, Outbreak Control, and Health Policy
Purpose: This policy is designed to protect the health and well-being of children, families, and staff by reducing the spread of illness and limiting exposure—particularly for individuals who may be more vulnerable, including those who are immunocompromised.
Daily Health Screening
Staff will greet each child upon arrival to observe for any visible signs of illness and to ensure the child is well enough to safely participate in program activities. Children who appear unwell may not be admitted.
When to Keep Your Child Home
To support a healthy environment for all participants, children should be kept home if they exhibit any of the following symptoms:
- Cold or flu symptoms that limit normal participation
- Fever
- Vomiting or diarrhea
- Persistent or severe coughing
- Sore throat or difficulty swallowing
- Discharge from the eyes, ears, or nose
- Unusual rash, spots, or signs of skin infection
- Severe itching (e.g., suspected contagious condition)
- Earaches
- Loss of appetite accompanied by other symptoms
- Difficulty breathing or rapid breathing
- Seizure activity (unless part of a known, managed condition)
If your child is experiencing cold or flu symptoms, please keep them home to reduce the risk of spreading illness to others.
Absence Notification
If your child will be absent due to illness or any other reason, please notify the gym at (905) 836-6401.
Return to Program(s)
Children may return to classes or camps once symptoms have improved and they are able to fully participate in activities. In general, children should be symptom-free for at least 24 hours (without the use of medication) before returning.
We will follow applicable Ontario public health guidance when determining return-to-program criteria.
Illness During Program
If a child becomes unwell during a class or camp, staff will contact a parent, guardian, or emergency contact. Children who are ill must be picked up promptly. Please ensure that a parent or designated contact is always reachable while your child is attending the program.
Medical Cancellations and Credits
Cancellations due to illness are non-refundable unless supported by a medical note. For extended absences due to medical reasons, a program credit may be issued at management’s discretion. See the Cancellation and Refunds policy below.
Allergies or Medical conditions
If a participant is required to take medication, has a health condition, or carries an EpiPen, please ensure this information is included on your registration forms before your child attends classes or camps.
Also, on dropping off your child, please check in with the gym director and provide any necessary instructions to ensure that we are equipped to properly care for your child.
Policy on Nuts
Please be advised that participants are not permitted to bring food products that may contain nuts or traces of nuts to classes or camps. As parents can appreciate, some attendees may have serious allergies. Should items containing nuts be found, our staff may collect them from the gym area and return them to the parent/guardian at the end of the day or after classes. Soy butter and “Wow Butter” are also not permitted.
Policy on Photography
Photos and videos are not permitted during camps or recreational programs unless authorized by a staff member. The Tumble Tot Co. & Tornados Gymnastics may take pictures for promotional purposes. In this case, parents will be notified and asked for their permission in advance before pictures are shared with any third parties.
Cancellations and Refunds
If you must cancel a registration or withdraw from a program, a credit will be applied to the following session only when accompanied by a doctor’s note; however, a $30.00 administrative fee will be charged. All classes are subject to cancellation if enrollment is insufficient. If the gym is closed due to inclement weather, storms, heating failures, power outages, outbreaks, or unforeseen circumstances, no makeup classes or refunds will be offered. A $50.00 charge will be levied on all NSF cheques.
Makeup Classes
If you miss a class for other reasons and wish to schedule a makeup class, please e-mail us at ttc@tumbletot.com to discuss rescheduling. Unfortunately, there are no make-ups for missed summer programs or pre-competitive or competitive programs. A maximum of two makeup classes will be offered per session.
